Job Summary:
We are seeking a dedicated and detail-oriented Finance Administrator to join our nonprofit organization that utilizes basketball as a catalyst for positive change in our community. In this pivotal role, you will be responsible for managing the financial health of our organization by overseeing expenses, coordinating budgets, and producing accurate financial reports.
Key responsibilities include maintaining organized financial records, utilizing QuickBooks for financial tracking and reporting, and collaborating closely with the Executive Director to ensure transparent and sustainable financial practices. You will play a crucial role in supporting our mission by enabling effective resource allocation and helping us maximize our impact through basketball programs.

Essential Job Responsibilities:

Expense Management:

Track and categorize organizational expenses to ensure accurate accounting and financial oversight.

Process invoices and reimbursements in a timely manner, ensuring all expenditures align with the budget.

2. Financial Reporting:

Produce monthly, quarterly, and annual financial reports using QuickBooks, detailing income, expenses, and budget variances.

Prepare and present financial summaries to the Executive Director and board members to facilitate informed decision-making.

Budget Coordination:

Assist in the development and management of the annual budget, collaborating with Program Directors and the Executive Director to allocate resources effectively.

Monitor budget performance throughout the year, providing insights and recommendations for adjustments as necessary.

Collaboration with Executive Director:

Work closely with the Executive Director to review financial strategies and ensure alignment with the organization’s mission and goals.

Support the Executive Director in financial planning and forecasting efforts to promote long-term sustainability.

Financial Policies and Procedures:

Help establish and maintain financial policies and procedures to promote efficient operations and safeguard organizational assets.

Provide training and support to staff on financial processes and best practices.

Donor Reporting and Grants Management:

Assist in tracking and reporting on grant expenditures, ensuring compliance with donor requirements.

Prepare financial reports for funders and stakeholders, highlighting the impact of financial resources on programs.

Financial Systems Management:

Maintain and update QuickBooks and other financial software to ensure accurate and efficient financial tracking.

Recommend improvements to financial systems and processes to enhance efficiency and effectiveness.

Financial Analysis:

Conduct financial analysis to identify trends, variances, and opportunities for cost savings or revenue enhancement.

Provide insights and recommendations to the Executive Director and board regarding financial health and operational efficiency.

Participate in team meetings and contribute financial insights to support organizational initiatives.
By fulfilling these responsibilities, the Finance Administrator will play a crucial role in ensuring the financial health of the organization and supporting its mission to create positive change through basketball.
Experience and Education Requirements:
Education:
- Bachelor’s degree in Finance, Accounting, Business Administration, or a related field.
- Additional certifications (or plan for certifications) such as Certified Nonprofit Accounting Professional (CNAP) or Certified Public Accountant (CPA) are a plus.
Experience:
- Minimum of 1-3 years of experience in finance or accounting, preferably within a nonprofit organization.
- Proven experience in budgeting, financial reporting, and expense management.
Technical Skills:
- Proficiency in QuickBooks or similar accounting software, with a solid understanding of financial management systems.
- Strong Excel skills for data analysis and financial modeling.
- Familiarity with nonprofit accounting principles and regulatory requirements.
Financial Acumen:
- Knowledge of financial reporting standards and best practices in nonprofit finance.
- Ability to analyze financial data and provide insights for decision-making.
Organizational Skills:
- Exceptional organizational skills with a strong attention to detail and accuracy in financial reporting.
- Ability to manage multiple priorities and meet deadlines in a fast-paced environment.
